As part of the IT Strategy we are in the process of upgrading iMIS from version 20.2.40.4832 to version 20.2.46.5612. This upgrade will enable improvements with: 

  • Reporting capability and output such as:
    • IQA reports with filters to export filtered results.
    • Reporting in SSRS format
  • iMIS stability and performance

Accordingly, the planned iMIS outage is scheduled to be from 2pm Friday 16 June 2017 to 10am Monday 19 June 2017 (Melbourne time). 

This outage will be a complete outage and will affect the following:

  • National, State and Free G websites.
  • Gymnastics Online (GOL)
  • Staff Site
  • Remote Connection & iMIS Desktop
  • Advanced Account Console
  • Test Gymnastics Online
  • Test Staff Site
  • Test Remote Connection & iMIS Desktop

Online Club Affiliation Renewals & Club Admin Portal Enhancements Launched

Gymnastics Australia are announcing the launch of the following new Gymnastics Online (GOL) features and processes for Clubs in 2017:

  • New Online Club Affiliation Renewals process
  • Club Admin Portal Enhancements which include the following features:
    • A new Club Statistics page
    • A Missing Data page
    • Streamlined Athlete Creation process
    • Streamlined Athlete Transfer process
    • A Bulk Renew Process


New Online Club Affiliation Renewals Process

Clubs can now login to GOL and complete their 2017 Affiliation Renewal. Please note that Clubs affiliated with Gymnastics Victoria will complete the same online affiliation process as in 2016, and will be sent a link to complete the form.


What is the Online Club Affiliation Renewals process?
The Online Club Affiliation Renewal Process provides the ability for Clubs to complete their Affiliation renewals online via Gymnastics Online (GOL) except Clubs affiliated with Gymnastics Victoria, who will complete the same online affiliation process as in 2016 and will be sent a link to complete the form.

The new Online Club Affiliation Renewals functionality offers a more streamlined process for Clubs by:

  • eliminating the large paper based form
  • providing a step by step online guided process
  • having all available Club information auto-populated 
  • having the ability to review and amend some Club information
  • validation checks to ensure data integrity, and 
  • having the ability to upload documents where required

This new functionality also provides email notification on approval by the State Association and dramatically decreases the time and effort it currently takes for clubs to renew. 


Does my club still need to complete a paper form?
Clubs are no longer required to complete a paper form as it has been superseded by the new online renewal process.  Please note that Clubs affiliated with Gymnastics Victoria will complete the same online affiliation process as in 2016 and will be sent a link to complete the form  


How do I access the Online Club Affiliation Renewals Process in Gymnastics Online?
Once logged in to GOL, go to the ‘Club Admin Portal’ and click on the blue ‘Affiliation’ button on the right hand side of the page.  For further information, please refer to our Support page which has a Quick Reference Guide for how to log into the Club Admin Portal. 


My club’s affiliation has been approved, how do I get our certificate?
Please refer to our Support page which has instructions on how to get your club’s affiliation certificate after your affiliation application has been approved by your State Association. 


How does my Club pay for affiliation?
If you require some more information on this process, please contact your State Association for instructions on how to pay for your club’s affiliation.


Where can I access more information to help me with the Online Club Affiliation Renewals process?
We highly recommend:

  • Reading the Intro page that is displayed after you click on the Affiliation button available on the Club Admin Home Page. 
  • Clicking on the Information Icons to view helpful information while you are completing the Affiliation form.
  • Viewing our comprehensive PowerPoint presentation on the new Online Club Affiliation Renewals process which is attached to our Support page if you require more information.


Will Online Club Affiliation Renewals training sessions be available for clubs?
Yes throughout January 2017, Gymnastics Australia is offering several 1 hour Club Information and Q&A sessions which any club can join.

Club Admin Portal Enhancements

How do I access the Club Admin Portal?
Please refer to our Support page which has a Quick Reference Guide for how to log into the Club Admin Portal.


How do I access the Club Statistics page?
Once in the Club Admin Portal, please select the ‘Stats’ link on the blue ribbon towards the top of the page.


How do I access the Missing Data page?
Once in the Club Statistics Page, a ‘Missing Data’ link will appear in the sub blue ribbon.


How do I access the streamlined Athlete Transfer and Athlete Creation process?
Once in the Club Admin Portal, please select the blue ‘Add or Transfer’ button on the right hand side of the page.  Please use the search functionality to look for the athlete and then either select the Athlete Transfer link to initiate the transfer or select the button to ‘Create new athlete record’.


What has changed with the Athlete Transfer process?
Users are unable to view a link to initiate the Transfer Request of an athlete if an athlete already has a pending transfer request.  The athlete transfer form has been streamlined with less popups and fields, and also includes an onscreen confirmation.


What has changed with the Athlete Creation process?
The Athlete Creation form has been streamlined to be displayed on one page rather than across two and some fields have been removed which are not required.


What is the Bulk Renew process?
The Bulk Renew process allows users to renew athletes in bulk via a renew checkbox.  Users can also update athlete details such as address and phone number in this screen.  We recommend using the filters and changing the page size if you have a number of athletes to administrate.


How do I access the Bulk Renew process?
Once in the Club Admin Portal, please select the blue ‘Bulk Renew’ button on the right hand side of the page.


Where can I access more information to help me with new Club Admin Portal Enhancements?
We recommend that you view our comprehensive PowerPoint presentation on new Club Admin Portal Enhancements which is attached to our Support page if you require more information.
