To fix Club data issues such as missing or invalid fields, please go to Club Admin Home and click on the Bad Data tab - these are reports which shows missing or invalid information in the National database which needs to be fixed by your club

What is “Bad Data”?
Bad Data reports highlights missing or invalid information in our database which needs to be fixed by your Club to ensure good data.

Why do we need good data?

As the world is now in the information age, data is very important to Gymnastics in Australia to analyse our sport. Good data helps Clubs and State/Territory Associations with so many things, such as:

  • To make informed decisions about the sport
  • To effectively monitor and manage the sport
  • To track our growth as a sport
  • For our sport’s grant and funding applications
  • To support targeted marketing & communication
  • For competition registrations
  • To ensure the Club Admin Portal works well (e.g. so you can find an athlete to transfer)

Clubs, we need your help in order for our database to have good data about Gymnastics in Australia by ensuring bad data is regularly cleaned up and good data is accurate.

Available Bad Data Reports

Once on Club Admin Home>Bad Data tab, please select the report from the ‘select a query’ dropdown list. 

These are the reports which are currently available on this page:

  1. Incorrect Athlete Code – all registered athletes
  2. Duplicate athletes
  3. Undefined gender – all registered athletes
  4. Missing/bad date of birth – all registered athletes
  5. Missing athlete code – all registered athletes
  6. Missing or Invalid Email - all registered athletes
  7. Athlete Email same as Club email - All registered athletes

If you wish to download any reposrt, please click on the Export button  to the right of the report name to download an excel file report. If desired, other file format are also available to be selected.

How do you fix Bad Data?

Good data can be achieved by Clubs making some time to regularly help with the following activities in the Bad Data tab in the Club Admin Portal:

 

1.   Correcting athletes with incorrect athlete codes

Why is it an issue?

  • Incorrect athlete codes can prevent your athlete from entering a competition and also are not counted in the overall number for a Gymsport.

Source(s) of bad data: 

  • Incorrect or incomplete athlete code (Gymsport and level) has been imported via the Club Importer.
  • Renewed an athlete who has a decommissioned or incorrect athlete code.
  • Athlete has been transferred from another Club who has decommissioned or incorrect athlete code.

How to fix:

  • Open the Incorrect or Invalid Athlete Code report via Club Admin Portal > Bad Data .
  • Right hand click on athlete’s name which will open their athlete profile in a new tab on your browser.
  • Go to header ‘Athlete Gymsport Activities’ and find code which says ‘Undefined’.
  • Click on the ‘Edit’ link to the right of the code.
  • Update the code to a valid athlete code.

 

2.  Updating athletes missing athlete codes

Why is it an issue?

  • Missing athlete codes can prevent your athlete from entering a competition and also are not counted in the overall number for a Gymsport.

Source(s) of bad data: 

  • Renewed an athlete who not been renewed since 2015
  • Athlete has been transfer from another Club who has not been renewed since 2015.
  • Created a new athlete and not completed Step 4 of the Add or Transfer an Athlete Form.

How to fix:

  • Open the Missing Athlete Code report via Club Admin Portal > Bad Data .
  • Right hand click on athlete’s name which will open their athlete profile in a new tab on your browser.
  • Go to header ‘Enter New Gymsport’ and complete all fields. Please have a look at the latest Athlete Coding Guide for more information about athlete codes.
  • Click on the Save button.

 

3. Amending athletes who do not have a gender

Why is it an issue?

  • Incorrect athlete codes can prevent your athlete from entering a competition and reduce our sport’s reporting accuracy.

Source(s) of bad data: 

  • Created a new athlete and not completed Step 2.
  • Renewed an athlete who has not had a gender entered in the system
  • Transferred the athlete from another Club who has not entered a gender in the system for this athlete.

How to fix:

  • Open the Missing Gender report via Club Admin Portal > Bad Data .
  • Right hand click on athlete’s name which will open their athlete profile in a new tab on your browser .
  • Go to header ‘Demographic Information’ and click on the pencil icon to the right of the header.
  • Update the Gender field .
  • Click on the Save button.

 

4. Fixing athletes who have a missing or bad date of birth

Why is it an issue?

  • Incorrect birth dates can prevent your athlete from entering a competition and skew our statistical results. It also can prevent the athlete from being recognised by the Club importer.

Source(s) of bad data: 

  • Created a new athlete and not completed Step 2.
  • Renewed an athlete who has a bad date of birth (e.g. birth date in the future) or has not got a birth date in the system.
  • Transferred the athlete from another Club who has a bad date of birth (e .g. Birth date in the future) or has not got a birth date in the system.

How to fix:

  • Open the Missing or Bad Date of Birth report via Club Admin Portal > Bad Data.
  • Right hand click on athlete’s name which will open their athlete profile in a new tab on your browser.
  • Go to header ‘Demographic Information’ and click on the pencil icon to the right of the header.
  • Update the Date of Birth field.
  • Click on the Save button.

 

5. Fixing athletes who have a missing or invalid email address

Why is it an issue?

  • Athletes will miss out on communication and notifications sent from either their State Association or Gymnastics Australia.

Source(s) of bad data: 

  • There was a loophole in the past which was not enforcing email addresses in the individual athlete registration form
  • Athlete was registered before email addresses were required or being checked for validity.
  • Clubs have not completed Step 4 in the new individual registration form.
  • Clubs are entering their own email address for an athlete as they don’t have one for the athlete.

How to fix:

  • Open the Missing or Invalid Email report via Club Admin Portal > Bad Data.
  • Right hand click on athlete’s name which will open their athlete profile in a new tab on your browser.
  • Go to header ‘Personal Information’ and click on the pencil icon to the right of the header.
  • Update the Date of Birth field.
  • Click on the Save button.
     

6. Letting support know about duplicate athletes in your club

Why is it an issue?

  • It affects our statistics as athletes are double counted and we also cannot accurately how many athletes return to our sport from one year to the next.
  • In addition to this, it causes confusion with athlete transfers and it also can prevent the athlete from being recognised by the Club importer.

Source(s) of bad data: 

  • Old create new athlete form (before 2018) allowed duplicates to be created.
  • Transferred the athlete from another Club who has created duplicate records for the athlete.
