For policies relating to transfers and multi-club participants, please look at the National Club Administration Policy.

To approve or deny a transfer request, the requested club can do this by:
 
  1. Accessing the Member Portal
     
  2. Ensuring that you are in the Club record via the top right hand corner links in order to see the My Club(s) link in the top menu.  Please note that you must be a Club Administrator for the Club to see this link
     
  3. Clicking on My Club(s) in the top menu to display a dropdown menu.
     
  4. Selecting Transfer Lists from the dropdown menu
     
  5. Use the search on the page to find the transfer.
     
  6. Click on the Approve or Deny button for the transfer.  Please note that only pending approval status transfers can be approved or denied.
     
  7. A pop up window will appear.  Please click on the dropdown list below Approved? to pick one of the options:
     
    • Approved: This will transfer the participant and their current Gymsports/Programs to the new Club.
       
    • Approved (requires action): This option will appear only if the Gymsports/Programs that the participant is registered to currently are not offered by the New Club.  If this option is selected, the participant will be transferred to the new Club but the new Club will need to review the participant's registration and add new Gymsports/Programs which are offered by the Club to the transferred participant's record.
       
    • Denied (Owes Fees): This option should only be selected if the participant owes fees incurred of $50 within the last 3 years as per the National Club Administration Policy.  If this option is selected, the participant will not be transferred to the New Club and the New Club will need to request a new transfer once the matter has been resolved with the requesting club.
       
    • Denied (Still Training): This option should be selected by the requested Club if the participant is still training at the Club.  If this option is selected, the participant will remain as a primary participant with the requested Club and there will be a new multi-club participation registration with the new Club.  Once this transfer has occurred, the new Club will need to review the participant's registration and add new Gymsports/Programs
       
  8. Once an option has been selected from the dropdown list, please click on the Submit button to process the transfer.
     
  9. The Requested and Requesting Clubs will be receive email communications to confirm the option selected.
     
  10. Clubs can check their registrations via the Member Portal> My Club(s)> Add or Transfer a Participant page.  Please use the filter dropdown above the table to toggle between:
    • Active  - these are participants who are currently registered to your Club
    • Transferred - these are participants who have transferred out of your Club
    • Historical - these are participants who are linked to your Club from a previous registration and have not transferred away to another Club.
